This Privacy Policy explains how TaskPilot collects, uses, stores and shares personal information when you use the TaskPilot website, account features and AI-powered goal-planning services.
By using TaskPilot, you acknowledge the practices described in this Privacy Policy. Where consent is required by applicable law, TaskPilot will seek that consent separately where appropriate.
1. Information We Collect
Depending on how you use TaskPilot, we may process information such as:
- your email address and account information;
- authentication and account identifiers;
- goals, deadlines, descriptions and context you provide;
- AI-generated plans, milestones and tasks associated with your account;
- goal progress and completion information;
- subscription status and plan information;
- usage information, such as the number of AI plans generated;
- technical information necessary to operate, secure and troubleshoot the Service;
- communications you send to TaskPilot support.
2. Information You Choose to Provide
TaskPilot allows you to enter information about your goals and circumstances so that AI-powered plans can be generated.
Please avoid entering passwords, financial account credentials, government identification numbers or other highly sensitive personal information unless a TaskPilot feature specifically requires it.
3. How We Use Information
We may use information to:
- create and maintain your TaskPilot account;
- generate AI-powered goal plans and task guidance;
- save and display your goals, history and progress;
- manage Free and Pro plan usage limits;
- determine and display your subscription status;
- provide customer support;
- maintain, troubleshoot and improve TaskPilot;
- protect TaskPilot against fraud, abuse and security threats;
- comply with applicable legal obligations.
4. Artificial Intelligence Processing
When you ask TaskPilot to generate a goal plan or other AI-powered content, relevant information you provide may be sent to an artificial intelligence service provider so that the requested output can be generated.
You should not include information in your goal description that you do not want processed for the purpose of generating your requested AI response.
5. Service Providers
TaskPilot uses third-party service providers to operate parts of the Service. These providers may process information on TaskPilot's behalf or as otherwise described in their applicable terms and privacy policies.
Current service providers may include:
- Supabase — account authentication, database and cloud storage infrastructure;
- OpenAI — artificial intelligence processing used to generate TaskPilot plans and guidance;
- Lemon Squeezy — checkout, subscription management and payment processing;
- Render — application hosting and server infrastructure.
These providers may process information in countries other than the country in which you live. Where applicable, personal information may therefore be transferred across national borders subject to applicable legal requirements and safeguards.
6. Payments
TaskPilot uses Lemon Squeezy to process purchases and recurring subscriptions.
TaskPilot does not need to directly store your full payment-card details in order to provide the TaskPilot subscription service. Payment information submitted during checkout is handled by the applicable payment provider.
TaskPilot may receive information associated with your purchase, such as your customer identifier, subscription identifier, subscription status and information necessary to associate a purchase with your TaskPilot account.
7. How We Share Information
We do not sell your personal information.
Information may be shared with service providers where reasonably necessary to operate TaskPilot, process payments, generate AI content, host data, provide security and support the Service.
Information may also be disclosed where required by law, legal process, or where reasonably necessary to protect the rights, safety and security of TaskPilot, its users or others.
8. Data Storage and Security
We use reasonable technical and organizational measures intended to protect information against unauthorized access, loss, misuse or alteration.
However, no internet-based service or electronic storage system can be guaranteed to be completely secure.
9. Data Retention
Personal information may be retained for as long as reasonably necessary to provide TaskPilot, maintain your account, meet legitimate operational requirements, resolve disputes, prevent abuse and comply with applicable legal obligations.
Retention periods may vary depending on the type of information and the reason it is processed.
10. Your Privacy Rights
Depending on where you live, applicable privacy law may provide rights relating to your personal information. These may include rights to request access to, correction of, or deletion of certain personal information, or to object to or restrict certain processing.
South African users may have rights under the Protection of Personal Information Act, 2013 (POPIA), subject to the conditions and limitations provided by law.
Users in other jurisdictions may have additional rights under applicable privacy laws.

11. Account and Data Deletion
You may contact TaskPilot to request deletion of your account and associated personal information where applicable.

Cancelling a TaskPilot Pro subscription and requesting deletion of a TaskPilot account are separate actions. If you have an active subscription, you should cancel the subscription through the Manage Subscription feature to prevent future renewal.
12. Cookies and Similar Technologies
TaskPilot and the services used to operate it may use cookies, browser storage or similar technologies where necessary for authentication, security, session management and operation of the Service.
If TaskPilot later introduces non-essential analytics, advertising or other tracking technologies, this Privacy Policy and any required consent mechanisms may be updated accordingly.
13. Children's Privacy
TaskPilot is not intended to knowingly collect personal information from children where doing so would require parental or guardian consent under applicable law without the required authorization.
If you believe a child has provided personal information to TaskPilot in circumstances that are not legally permitted, please contact us.
14. International Users
TaskPilot may be accessible internationally. Information may be processed or stored in countries different from your country of residence because TaskPilot relies on international cloud and technology providers.
We will seek to handle personal information in accordance with applicable privacy requirements relevant to the Service.

This Privacy Policy may be updated as TaskPilot develops, introduces new features, changes service providers or responds to legal and regulatory requirements.
